Vendor Registration Terms & Conditions

These Terms & Conditions (“Agreement”) apply to all vendors (“Vendor”) participating in the Pocatello Costume Dash & Monster Mash Carnival (“Event”), co-hosted by Housing Alliance and Community Partnerships (HACP), Friends of the Children, and Delirium (“Organizers”). By submitting a registration form, the Vendor agrees to the following:

1. Registration

Vendor registration is $150. Please call the HACP office at (208) 233-6276 to arrange payment. This payment is considered a donation to a non-profit agency and may be a tax deduction.

Space is limited; registration does not guarantee participation until confirmed by the Organizers.

Vendors must provide accurate and complete information during registration.

2. Vendor Space & Setup

Vendors will be assigned a designated booth or activity space by the Organizers.

Vendors must provide their own tables, tents, chairs, and display materials unless otherwise arranged.

The Organizers will not provide electricity. Please plan accordingly.

Setup and teardown must occur only during the times provided by the Organizers.

Vendor spaces must be kept clean and safe throughout the Event.

3. Compliance Requirements

Vendors are solely responsible for obtaining and maintaining any licenses, permits, certificates, or insurance required for their activities. This includes, but is not limited to:

  • General liability insurance

  • City permits or business licenses

  • Food handling or health department certifications (if applicable)

Vendors must comply with all federal, state, and local laws, regulations, and ordinances.

4. Conduct & Family-Friendly Standards

This is a family-friendly event; Vendors agree to present materials, services, and products that are appropriate for a family-friendly event.

Vendors and their staff are expected to act respectfully toward attendees, volunteers, fellow vendors, and Organizers at all times.

The sale or distribution of drugs, weapons, or any inappropriate/objectionable material is strictly prohibited.

5. Liability & Assumption of Risk

Vendors participate at their own risk. The Organizers are not responsible for loss, theft, damage, or injury to Vendor property, staff, or participants.

Vendor agrees to hold harmless and indemnify the Organizers, their staff, volunteers, and affiliates from any claims, damages, or liabilities arising out of Vendor’s participation.

6. Cancellation & Event Changes

Vendors who can no longer participate must notify the Organizers in writing as soon as possible.

The Organizers reserve the right to modify, postpone, or cancel the Event due to weather, safety concerns, or other circumstances beyond their control.

7. Photography & Promotion

By participating, Vendors grant the Organizers permission to use photographs or videos of their booth, staff, or activities for promotional and marketing purposes.

8. Acceptance of Terms

By registering as a Vendor, you acknowledge that you have read, understood, and agree to these Terms & Conditions.
